Discussion of Positions Vacant – President, Vice President, Secretary/Treasurer, Committee Members.

Election of Nominees:
11 Members voted in favour of Jamie Ferguson for Club President.
11 Members voted in favour of Scott Purnell for Vice President.
11 Members voted in favour of Jodie Ferguson for Secretary/Treasurer combined.
11 Members voted in favour of Geraldine Lewis for Committee Member.
11 Members voted in favour of Rodney Purnell for Committee Member.
11 Members voted in favour of Adam Hoggan for Committee Member.
Discussion of Insurance Options –
Quotes have been received from Elders Insurance Grafton but it has come to the attention that the Public Liability Premium was insufficient.
Rodney Purnell to email other possible Insurance options to the Secretary.
Discussion of Member Conduct & Consequences –
To accompany Membership Forms the Clubs Rules will also be included. It was discussed that applicants must read these rules before acceptance into the club.
The topic of traffic offences was discussed and it was agreed that all issues will be put to the committee as the issue arises.
Regarding cars on club rego, the issue will be dealt with in a more serious manner in which club rego may be revoked.
Further discussion required.
Discussion of Car Club Website & Facebook –
Rod Purnell volunteered to design and organise, with the club to give opinion on, before Website becomes active.
Discussion of Future Events –
It was agreed upon that the club will officially begin Club events after 1st July 2014.
Members were encouraged to offer possible outings so we can organise a Club Events Calender.
Possible events will include The Grafton Vintage Motor Vehicle Club Show & Shine on August 17 2014 and The Grafton Show & Shine (organiser Todd Pearson) in November.
Discussion of Club Rego –
Application forms have been obtained to become a recognised Car Club within the Roads & Maritime Service.
Once Application has been accepted it is a condition that we register 5 cars on club rego within the first 12 months.
Interested parties included – Athol Ferguson, Jamie Ferguson, Mel Purnell, plus others.
It was agreed upon that all cars proposed for club rego will be presented to the committee, will meet the requirements of the clubs constitution for club rego, before club registration will be offered.
Next Meeting:
It was agreed that Club Meetings will be the Last Sunday of every month.

Next Meeting is on Sunday 25th May 2014, Sea Park, BBQ Lunch, BYO Food & Drinks, from 1pm.

Minutes of the Monthly Meeting held on Sunday 25th May 2014 at See Park Grafton.

The Meeting Opened: 2pm

Chairman: Jamie Ferguson

Apologies: Strawb, Jonathon Reed, Joe Sciberras

Attendance: 15 Members were present

New Members: Amanda Donohoe (& Family), Joe Sciberras, Dale Nugent (& Family), Michael Cole (& Family).

Guests & Visitors: Tamara Secomb, Cameron Clarke, Nick Rudder, Dan Rudder, Warren & Julie-Anne Brett, Daniel Marando, Matt Beshara, Greg Plumridge.

Items for Agenda:

Club Rules Review:

  • It was agreed that all members will be required to attend at least four Club Meetings over the 12 months of membership.

  • Memberships will run from Financial Year to Financial (So all members that have paid their memberships, they will be current from June/July 2014 to June/July 2015).

Further discussion needed for late memberships & how they will be priced etc.

Proposals for Future Events:

  • Members have been encouraged to either post online any events that the club may be interested in, or to give Jamie, Scott or Rod a call & they’ll post it for them.

Club Logo:

  • There were two possible designs passed around with different colours and fonts.

Anyone with a different design is to bring it to the next meeting as we will vote & decide which logo we want on this day.

Club Membership Fees:

  • Anyone who has filled out a membership form but has not paid is encouraged to do so before the end of June please, as the Club needs to prepare and submit a Summary of Financial Affairs, approximately one month after the Annual General Meeting. The next meeting will be the Annual General Meeting.

 

 

Next Meeting:

  • Sunday 29th June 2014, 12 noon at Bailey Park Ulmarra, BBQ again, bring your own meat & drinks, bring a chair or picnic blanket.

Meet at 11:30am at McDonalds if wanting drive with the group, or meet at Bailey Park.

Business Arising:

  • Application to become a Recognised Car Club with the RMS to be submitted, details next meeting.

  • It was suggested that the club should do Newsletters, possibly on the website, no volunteers however so further discussion required if to go ahead.

  • Kieren Ferguson possibly to be our official photographer.

  • It was agreed that Club Meetings & Outings etc may be allowed at suitable venues where alcohol is provided, however if any member or guests of members are deemed to be acting irresponsibly, they will be told to leave.

If circumstances arise where a member or guest of a member has driven to the event, they will have to make alternate arrangements for their car to be taken home.

  • The topic of Club insurance was raised and at this stage it looks like we will proceed with making an application to the insurer TCIS Insurance Brokers (who specialise in all aspects of Car Club Insurance).
